QuickBooks® is a user-friendly, powerful tool that does a LOT of the manual work, but it is still only a tool. It should be set up, maintained, and operated by a knowledgeable professional to guarantee good results and be of any real value!
Putting your business books in the hands of anyone who says they “know QuickBooks®” (but not the unique requirements of each industry and entity type, general accounting or tax rules) is like handing a scalpel to your auto mechanic and trusting them to perform your heart surgery simply because they have figured out a scalpel cuts.
Doing either of those things will always result in a huge mess to has to be cleaned up.
Yes, ALWAYS.
Anyone can “get numbers in places”, and anyone can use QuickBooks®.
Just like anyone can use a scalpel.
That doesn’t mean they should.

Proper Structure: New File SetUp
Are you thinking of using QuickBooks®? I am too excited for you! Can you just imagine the perfect world where you knew how to properly organize and actually understand your COA (Chart of Accounts)? When to use which categories, or which ones are even allowed for your industry or entity type (because not all of them are)? I felt inappropriately happy for you just then, too. Rather than worry about the problems caused when the frame and foundation (the COA!) are done badly, let ME handle the New File Setup so it is right from the very beginning and get you a little bit closer to that utopia!
Proper Structure: QB Training
Who have you handed the scalpel to? Maybe the person you have trusted knows accounting or even taxes but is new to the QuickBooks® Online or Desktop version. Maybe they have never handled specific task areas of the program like Invoicing or Sales Receipts or BillPay. That’s ok, I am not judging – but QuickBooks® will! Let’s customize a training agenda specific to your needs and give your scalpel-holder every chance of success right from the start!
Upgrades: Conversion, Migration
Don’t risk losing data! Is it FINALLY time to convert from QuickBooks® Desktop to Online? Maybe you have an outdated version of QB Desktop (more than 3 years) and need to be “leapfrogged” or “stairstepped” through an upgrade (because too many years in one leap risks data loss, instability and crashing). Conversions by me are done quickly and safely.
Make Readys: Database Import
Is it finally time to use QuickBooks® as a customer or donor database, but there are thousands of names in another system? Maybe a previous import was done incorrectly and created a long list of ‘other names’ that you need to convert. Is it finally time to integrate inventory, but have no time to setup and enter hundreds of items? You might have finally decided to use QuickBooks® but have years of activity and it looks like hundreds or even thousands of transactions will have to be entered manually…..ok, that one hurt, didn’t it? It hurt me too, just to type it. I’ll complete a ‘make ready’ and get everything moved in for you properly!
Inspections: Quick Look
It’s tax time…..can your preparer make sense of the financial reports, or do they have to file an extension for you every year? Did you just hire a new bookkeeper who could use a little help with year-end closing? Maybe you just need the peace of mind of having an expert (who is not trying to sell you additional services) tell you everything is ready to go. Before it is too late to correct it for tax time, a Quick Look provides a list of what was missed or done incorrectly with suggestions on how to fix it. Just decide if you need my help after that!
Small Jobs: Quick Fix
You know something is wrong but not how to fix it. Is the Undeposited Funds account out of control? Does A/R look completely wrong? Are there old, outstanding bills or vendor credits that just won’t go away? Maybe there are uncleared transactions in a bank rec that are throwing things off. All of these affect the financial reports and will not fix themselves, but are easy jobs for an experienced ProAdvisor with the right tools to fix.
Total Renovation | Extensive CleanUp: Full Flip
Don’t lose years of history and usable data that can be salvaged by a renovation! Did you inherit or accidentally make a mess – maybe one that includes a Chart of Accounts that is too long, too complicated, or completely disorganized?
